GateVentory is made by Sunny Systems LLC (“GateVentory”, “we”). This policy says what information we collect, what we do with it, and who else sees it.
1. Who this covers, and our two roles
This policy covers sellers and their teams, shoppers, and visitors to GateVentory.com and to the stores on it.
For sellers, their teams and visitors, we decide how information is used, as this policy says.
For a shopper at a seller’s store, the seller decides. A store belongs to the seller that runs it. The seller chooses what its registration form asks and how it uses what you give it. We keep and handle that information for the seller, to run its store. Ask the seller about its own privacy practices.
Your sign-in is ours to look after. One sign-in, by your email address, works at every store on GateVentory. What you tell one seller, and what you buy from it, is seen by that seller and by no other.
2. What we collect
From sellers and their teams: your name and email; your business’s legal name, trading name, website, city and state; a phone number, which Stripe passes to us once your business is verified; your plan and whether it is paid; and what you put in your store, such as products, prices, pictures, logos and price sheets.
From shoppers: your name and email; your answers to the store’s registration form, which can include a phone number, an address, a license number, or a file the seller asks you to attach, such as a copy of your professional license; and your orders, with what you bought, where it ships and a phone number for delivery.
Tax exemption certificates and other files: if you send a seller your sales tax exemption certificate, or a seller marks you as exempt and attaches it, we keep it privately for that seller. The same goes for a file its registration form asks for. Only the seller’s own people can open it, and the seller decides whether to approve it.
Customer lists a seller gives us: a seller can upload its own list of customers, with details such as names, emails, phone numbers, business names, license numbers and addresses, so that the people on it are approved the moment they register through one of its gates. We keep that list privately for that seller, only the seller’s own people can see it, and we do not email anyone on it. The seller is responsible for having the right to share it with us, and can remove anyone from it, or the whole list, at any time.
Payment details go to Stripe or PayPal, not to us. We never see or keep a card number or a bank account number, and the identity documents Stripe or PayPal ask a seller for go to them alone. We receive from Stripe, or from PayPal for a payment made with PayPal or Venmo, what a payment came to, whether it succeeded, and the name, email, phone and shipping address entered at checkout.
Automatically: the cookies that keep you signed in; your bag, which stays in your own browser until you check out; the ordinary logs of a website, such as your IP address, browser and the pages asked for; and a record of faults the service meets, with personal details taken out. We use no advertising or tracking cookies.
3. How we use it
- to run GateVentory and each seller’s store: signing you in, showing the right prices, taking and filling orders;
- to email you about your account, your registration and your orders;
- to bill sellers for their plan;
- to keep the service secure, find faults and stop abuse;
- to meet our legal duties.
4. Who we share it with
We do not sell personal information, and we do not share it for advertising.
Between a seller and its shoppers. A seller and the people on its team see the registrations and orders of their own store. No seller sees another seller’s shoppers or orders.
With a seller’s vendors. Where a seller has its vendor ship an order, that vendor gets what it needs to ship it: the products, the name and address to ship to, and a phone number. It does not get your email or what you paid.
With the companies that help us run the service, each only for its part:
- Stripe, for payments, verifying sellers, and working out sales tax;
- PayPal, for payments made with PayPal or Venmo, where a seller offers them;
- Clerk, for signing in;
- Vercel, for hosting and for storing files;
- Neon, for the database;
- Resend, for sending email;
- Google, for offering matches as you type an address: what you type in an address field is sent to Google, under the Google Privacy Policy;
- OpenAI, for reading a price sheet a seller uploads, and the column headings of a customer list;
- Photoroom, for enhancing a product picture a seller chooses.
Nothing about a shopper is sent to OpenAI or to Photoroom: what they are given is a seller’s own price sheet or product picture, or the headings of a customer list with what kind of thing each column holds, never the customers’ details.
When the law requires it, or to protect people’s rights and safety. And if GateVentory is sold or merged, the information goes with it under this policy.
5. How long we keep it
We keep information for as long as the account or the store it belongs to is open. When a seller deletes an account whose store never opened, its information is deleted at once. When a seller closes a store, its contents are deleted after 30 days; its records of orders and payments are kept for 7 years, and shoppers' names, emails, phone numbers and addresses come off them after 18 months. When a shopper deletes their account, their sign-in, their registrations and the documents they sent are deleted; their orders stay in each seller's records.
A price sheet a seller uploads is read and then deleted. A product picture is kept for as long as the product has it.
6. Your choices
You can ask to see, correct or delete your information by emailing hello@gateventory.com. If you are a shopper, you can also ask the seller: for what you gave a seller, we act on that seller’s instructions.
You can also do it yourself. A shopper can leave a store, or delete their account, from the account menu in any store; a seller can delete its account, or close its store, in Settings. When a shopper leaves a store or deletes their account, we keep their email as one that store is not to contact, so that it is honored.
Depending on where you live, the law may give you the right to know what we hold about you, to have a copy of it, to have it corrected or deleted, and to appeal our answer. Someone you have authorized can ask for you. We may need to confirm who you are first.
Some information we must keep, such as records of orders and payments. We will tell you if that applies. We will not treat you differently for making a request.
We do not sell personal information or use it for advertising, so there is nothing of that kind to opt out of. We do not follow you from one website to another, so a browser’s “Do Not Track” signal changes nothing here.
Emails about your account, your registration and your orders are part of the service. We send no marketing email.
7. Security
Each seller’s information is kept apart from every other seller’s, and the database enforces it. Information travels encrypted, sign-in is by a code sent to your email with no password to steal, and payment details go straight to Stripe or PayPal. No system is perfectly secure, and we cannot promise ours is.
8. Children
GateVentory is for adults. It is not directed to children under 13, and we do not knowingly collect their information. If you believe a child has given us information, email us and we will delete it.
9. Where information is kept
GateVentory is run from the United States, and information is kept and handled there. If you use it from another country, your information is transferred to the United States.
10. Changes to this policy
We may change this policy, and we change the date at the top when we do. When a change matters, we email sellers, and tell shoppers by email or when they next sign in.
